Manages and coordinates day-to-day responsibilities involving event space rentals at The Greens at North Hills as well as develops, organizes, and manages the City of Sherwood’s special events for the Sherwood Parks and Recreation Department. Meeting with potential event rental prospects to discuss event dates, rental policies, and contracts. Conducting site tours of the facility and marketing the facility. Directing and coordinating the activities of personnel, subcontractors and vendors as required to successfully execute the assigned events at the facility. Coordinating renter’s needs with catering and audio-visual concessionaires, security, and other requested services. Controlling event billing per client contracts. Developing and maintaining effective relationships with service contractors and other suppliers of event services. Handles complaints and correspondence which relate to policy. Provide training, scheduling, supervision of facility staff. Coordinates activities with supervisor to maintain budgets and meet established goals; acts as the facility manager as assigned. Reviews relevant programs and discusses improvements; evaluates the adequacy of existing programs and facilities, recommends improvements, and participates in planning of new programs and activities. Prepares and distribute flyers, posters and other advertisement related to the special events. Produces written reports for department director relating to programming, budget, project status, and staffing requirements; establishes priorities for long-range planning purposes. Ability to be work successfully in extreme hot and/or extreme cold temperatures; excessive humidity; slippery and uneven walking surfaces, excessive noise, and other extreme conditions such as noxious fumes, moving heavy machinery, etc. Prepares reports to the Parks and Recreation Director. Perform other duties as assigned and/or required.
Qualifications
Graduation from high school or GED equivalent with course work in typing and/or general office practices, and two years prior work experience in clerical, secretarial, or administrative work; or any equivalent combination of education and experience. Must be available to work evening and weekend events. Considerable knowledge bookkeeping practices, Microsoft Excel and Microsoft Word Software. Ability to maintain accurate records, type and enter data accurately. Ability to effectively communicate on a one-on-one basis with others. Ability to maintain effective and harmonious working relationships with other employees, department officials and the public. Ability to report to work each scheduled day, and on time.
