The Arkansas Recreation and Parks Association (ARPA) is committed to protecting your privacy.  This Statement of Privacy applies to the ARPA website at www.arkarpa.org and governs its data collection and usage.  By using the ARPA website, you consent to the data practices described in this statement.

Third-Party Platform: AMO

ARPA uses AMO, also known as Association Management Online, as a third-party platform to support association operations.  ARPA may use AMO for website hosting, membership management, payment processing, email marketing, event registration, event communications, member records, invoicing, reporting, and related association functions.  ARPA remains responsible for determining how member and participant information is used for ARPA purposes, subject to applicable law and this Privacy Policy.

Information you submit through ARPA’s website, membership forms, event registration pages, payment pages, email subscription forms, or other online forms may be collected, stored, processed, or transmitted through AMO.

AMO may process your personably identifiable information and other information submitted through ARPA forms or accounts.  AMO’s own privacy practices and terms may also apply to information processed through its platform.

Use of Cookies

The ARPA website may use cookies, analytic tools, or similar technologies to help personalize your online experience, analyze website traffic, improve website performance, and understand how visitors interact with ARPA content.

You may choose to accept or decline cookies through your browser settings.  If you choose to decline cookies, some website features may not function as intended.

Collection of Your Personal Information

ARPA collects personally identifiable information, such as your e-mail address, name, home or work address or telephone number.  ARPA also collect anonymous demographic information, which is not unique to you, such as your ZIP code, age, gender, preferences, interests and favorites.

There is also information about your computer hardware and software that is automatically collected by APRA.  This information can include: your IP address, browser type, domain names, access times and referring website addresses.  This information is sued by ARPA for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of the ARPA website.

ARPA encourages you to review the privacy statement of websites you choose to link to from ARPA so that you can understand how those websites collect, use and share your information.  APRA is not responsible for the privacy statements or other content on web sites outside of ARPA and ARPA family of websites.

Use of Personal Information

ARPA collects and uses your personal information to operate the ARPA website.  ARPA also uses your personally identifiable information to inform you of other products or services available from ARPA and its affiliates.  ARPA may also contact you through surveys to conduct research about your opinion of our services or of potential new services that may be offered.  You may opt out of a non-essential marketing or newsletter communications by following the unsubscribe instructions included in those communication or by contacting ARPA directly.

ARPA does not sell, rent or lease its customer lists to third parties.  ARPA may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you.  In those cases, your unique personally identifiable information (e-mail, name, address, telephone number) is not transferred to the third party.  In addition, ARPA may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries.  All such third parties are prohibited from using your personal information except to provide these services to ARPA, and they are required to maintain the confidentiality of your information.

ARPA does not use or disclose sensitive personal information, such as race, religion, or political affiliations, without your explicit consent.

ARPA websites will disclose your personal information, without notice, only if required to do so by law or in good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on ARPA or the site; (b) protect and defend the rights or property of ARPA; and, (c) act under exigent circumstances to protect the safety of users of ARPA, or the public.

Security of Personal Information

ARPA secures your personal information from unauthorized access, use or disclosure.  ARPA secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure.  When personal information (such as a credit card number) is transmitted to other websites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.

Use of Image

Registration and attendance at, or participation in, ARPA meetings, events, and other activities constitutes an agreement by the registrant to the use and distribution (both now and in the future) of the registrant or attendee’s image or voice in photographs videos, electronic reproductions, and audiotapes of such events and activities by ARPA and other third parties, including but not limited to the venue, sponsors, and strategic partners.

Changes to this Statement

ARPA will occasionally update this Statement of Privacy to reflect company and customer feedback.  ARPA encourages you to periodically review this Statement to be informed of how ARPA is protecting your information.

Code of Ethics for Professional Members and Commercial Vendors:

Arkansas Recreation and Park Association (ARPA) is committed to providing an atmosphere that is free of discrimination or harassment at all sponsored functions. Any professional or commercial member who believes he or she is unlawfully discriminated against or harassed should immediately discuss the situation with a member of the ARPA Board of Directors. ARPA Board of Directors reserves the right to excuse a professional or commercial member from the sponsored function if deemed it is in the best interest of ARPA. Discrimination based on race, color, national origin, religion, age, sex or an otherwise qualified individual with a physical or mental impairment that limits a major life activity is prohibited. It is ARPA’s policy to maintain an environment free of intimidation, insult or harassment based on race, religion, sex, age, national origin, ancestry or disability. Further, it is ARPA’s policy to prohibit a hostile work environment at any sponsored function. A hostile work environment occurs when workers or members/participants of ARPA create an atmosphere so infused with unwelcome sexually oriented or otherwise hostile conduct that a member/participant’s reasonable comfort level or ability to perform their job/function is undermined. ARPA Board of Directors reserves the right to excuse a professional or commercial member from the sponsored function if deemed it is in the best interest of ARPA. ARPA members have an obligation to support and carry out the policies and programs of ARPA. Actions must not knowingly be taken that are detrimental to the interests of ARPA or that are inconsistent with the Bylaws and policies of ARPA.

Cancellation, Refund, and Transfer Policy

ARPA reserves the right modify, postpone, reschedule, or cancel education, training, and/or events.  ARPA reserves the right to deny or revoke an individual’s registration or participation in any event if, in the judgement of ARPA, participation could result in harm to the individual, other attendees, or the overall event experience.  All cancellations must be submitted in writing to execdir@arkapra.org

• Annual Conference:  Refunds will be issued for cancellations received in writing at least ten (10) business days before the event start date, less a $50 processing fee.  No refunds will be given for cancellations made fewer than ten (10) business days before the program start or for registrants who do not attend.  Registrations can be transferred to another individual within the same agency/business at no additional charge if the request is submitted in writing at least five (5) business days before the start date.
• Hosted Events:  No refunds will be granted after registration is complete and payment has been made for CPSI, AFO, or any other course hosted for a third party.  Registrations can be transferred to another individual within the same agency/business at no additional charge if the request is submitted in writing at least 48 hours before the start date.
• Events & Meetings:  For in-person events, refunds will be issued for cancellations received in writing at least ten (10) business days before the event start date, less a $25 processing fee.  No refunds will be given for cancellations made fewer than ten (10) business days before the program start or for registrants who do not attend.  Registrations can be transferred to another individual within the same agency/business at no additional charge if the request is submitted in writing at least five (5) business days before the start date.
• Live/Virtual Events:  Refunds will be issued for cancellations made in writing five (5) business days or more before the event’s start date, less a $10 processing fee.  No refunds will be given for cancellations received fewer than five (5) business days before the event, or for registrants who do not attend.  Registrations can be transferred to another individual within the same agency/business at no additional charge if the request is submitted in writing at least 48 hours before the start date.
• Memberships:  No refunds will be offered for membership dues.

In the event ARPA cancels or reschedules an event, full refunds will be allowed with no processing fees.
